Printing Services Terms
Service-specific details for each print method.
DTF (Direct-to-Film)
Effective Date: September 1, 2025
What it is
Direct-to-Film printing (“DTF”) is a process where your design is printed in full color with a white underbase onto a specialized transfer film. That transfer is then heat-applied to garments or other compatible substrates.
Artwork & Files
- Provide high-resolution artwork whenever possible (minimum 300 DPI). Accepted formats include PNG, JPG, PDF, or AI.
- For optimal results, PNGs with transparent backgrounds are recommended when white underbase placement is important.
- All artwork is converted to TIFF format in our production workflow to correctly handle underbase (white ink) and color layering.
- Files submitted with low resolution, compression artifacts, or embedded backgrounds may produce less than optimal results. Epic Marks is not responsible for quality loss caused by poor source files.
Color & Print Variance
- We strive for accurate and vibrant color reproduction, but exact color matches are not guaranteed.
- Variances may occur due to monitor calibration, substrate material, ink absorption, and curing processes.
- Pantone® or specific brand color requests should be flagged during ordering, but cannot be guaranteed without prior proofing.
Gang Sheets
- All DTF orders are supplied as full gang sheets delivered uncut.
- Customers are responsible for trimming, weeding, and organizing individual designs as needed for pressing.
- Requests for cutting, trimming, or kitting are not included and will not be performed by Epic Marks.
Application & Usage
- DTF transfers must be applied using a heat press capable of consistent temperature, pressure, and dwell time.
- Instructions provided with your order must be followed carefully to ensure proper adhesion and durability.
- We do not recommend household irons or non-regulated presses.
- Detailed pressing instructions and troubleshooting can be found at our Help Center.
Claims & Defects
- Report any suspected print defects within 5 business days of receiving your order, including clear photographs of the gang sheet and pressed result.
- Valid defects include misprints, missing color channels, or film/ink delamination originating from production.
Claims will not be honored for:
- Incorrect press settings (temperature/pressure/time)
- Use on unsuitable fabrics or substrates
- Improper storage of transfers (heat, humidity, exposure)
- Normal wear, washing, or misuse of finished goods
Limitations & Disclaimers
DTF transfers are not suitable for all fabrics. We do not guarantee results on:
- Untreated nylon, waterproofed materials, or heavily textured fabrics
- Items with special coatings, finishes, or surfaces that resist heat bonding
Finished goods decorated with DTF transfers must be washed per care instructions; fading or cracking from improper laundering is not considered a defect.
Epic Marks is not liable for losses arising from misuse of transfers or application on unsuitable substrates.
UV DTF (Decals / Hard Goods)
Effective Date: September 1, 2025
What it is
UV Direct-to-Film (“UV DTF”) uses UV-cured inks printed onto a transfer film with an adhesive backing. These transfers are designed for smooth, hard, non-porous surfaces such as glass, stainless steel, acrylic, coated plastics, and similar substrates. The ink is cured with ultraviolet light, creating a vibrant, durable, and slightly raised graphic with a glossy finish.
Artwork & Files
- Provide high-resolution files (PNG, PDF, or AI) at 300 DPI or higher.
- Transparent backgrounds are recommended for decals intended to contour around shapes.
- Files are processed and flattened for UV curing — special effects (glow, blend modes, etc.) may not carry over as expected.
- Artwork quality directly affects transfer results; Epic Marks is not responsible for poor output from low-quality or unsuitable files.
Color & Print Variance
- UV DTF creates sharp, vibrant colors with a glossy raised effect.
- Slight color shifts may occur compared to digital proofs due to curing, adhesive film, or substrate color.
- Metallic, neon, or specialty inks are not supported.
Gang Sheets
- All UV DTF orders are delivered as uncut gang sheets.
- We do not offer individual decal die-cutting, trimming, or kitting services.
- Customers are responsible for cutting and preparing individual decals from the gang sheet before application.
Application & Usage
- UV DTF decals must be applied to clean, dry, smooth, and non-porous surfaces.
- Thoroughly clean with isopropyl alcohol or appropriate cleaners to remove dust, grease, or residue.
- Apply using firm, even pressure (squeegee recommended) to avoid bubbles or lifting.
- These decals are designed for permanent adhesion; repositioning after application is not possible.
- Hand-wash is recommended for drinkware or high-use items — dishwashers, abrasive scrubbers, or harsh chemicals may reduce durability.
- Step-by-step instructions and troubleshooting are available at our Help Center.
Claims & Defects
- Claims must be submitted within 5 business days of delivery with clear photos.
- Valid claims include print delamination, adhesion failure from production defects, or incorrect/missing items.
- Claims are not covered for:
Improper surface prep (dust, oil, textured or porous substrates)
Incorrect application pressure or technique
Long-term wear and tear, chemical exposure, or environmental damage
Customer cutting/trimming errors
Limitations & Disclaimers
- UV DTF transfers are intended for smooth, non-porous surfaces only. They are not recommended for:
Fabrics, flexible substrates, or porous materials
Surfaces with coatings that repel adhesives
Outdoor exposure beyond normal conditions (decals may weather over time)
- Transfers may not adhere properly to silicone, rubberized coatings, or heavily textured items.
- Epic Marks is not responsible for adhesion failure due to improper prep, application, or use on incompatible materials.
Sublimation
Effective Date: September 1, 2025
What Is It
Sublimation is a process where special inks are printed onto transfer paper and then heat-pressed into polyester fabrics or polymer-coated hard goods. Under heat and pressure, the ink converts to gas and bonds with the substrate’s coating, creating a permanent, full-color design that won’t peel or crack.
Artwork & Files
- High-resolution files (PNG, JPG, PDF, AI, or PSD) at 300 DPI are strongly recommended.
- Full-bleed artwork should include at least 1/8" of bleed to ensure edge-to-edge coverage.
- Vector files (AI, SVG, PDF) provide the cleanest results, especially for text and logos.
- Low-resolution, screenshot, or web images may produce blurry or pixelated results and are not covered by defect claims.
Color & Print Variance
- Colors may appear lighter or slightly different after pressing compared to on-screen previews or unpressed transfer sheets.
- Variance may occur due to substrate coatings, press temperature/pressure, or fabric blend.
- Exact color matching (Pantone® or brand-specific hues) cannot be guaranteed without prior proofing.
Materials & Substrates
- Sublimation requires polyester fabrics (minimum 65% polyester blend recommended) or polymer-coated blanks (such as mugs, tumblers, keychains, and plaques).
- White or very light-colored substrates yield the most accurate colors. Sublimation does not print white ink, so any “white” in the design will appear as the blank substrate.
- Dark, cotton, or uncoated materials are not compatible with sublimation.
Application & Usage
- Pressing requires consistent heat, pressure, and dwell time per product. Times and temps vary by substrate (e.g., fabric vs. coated mugs).
- Detailed pressing instructions and troubleshooting guides are available at our Help Center.
- Finished products should be hand-washed when possible; dishwashers or abrasive scrubbers may cause fading on certain coated blanks.
- For apparel, normal laundering is acceptable; avoid harsh detergents or bleach.
Claims & Defects
- Claims must be reported within 5 business days of delivery, with photos showing the product and transfer.
- Covered defects include: misprints, ghosting/offset caused during our press process, or production errors with supplied blanks.
- Claims will not be honored for:
Customer-supplied blanks that fail due to poor or inconsistent coatings
Variations caused by heat press settings outside recommended ranges
Normal fading or wear from laundering or use
Limitations & Disclaimers
- Sublimation is not suitable for:
100% cotton fabrics
Dark or heavily tinted substrates
Uncoated blanks (wood, glass, metal without polymer layer, etc.)
- We cannot guarantee durability or longevity for customer-supplied blanks with unknown or unverified coatings.
- Epic Marks is not responsible for damage resulting from improper press settings, incompatible substrates, or normal wear and tear.
Files, Proofs, & Canva Limitations
Effective Date: September 14, 2024
Artwork Handling & Conversion
- All submitted artwork is processed through Photoshop for production setup.
- Files are converted to TIFF format to correctly handle white ink underbases, transparency, and color layering.
- Flattened or low-resolution files limit editability and may result in reduced print quality.
Proofs & Approvals
- Proofs (when provided) show approximate sizing, placement, and general color. Exact color matching cannot be guaranteed.
- Customer approval of proofs confirms responsibility for spelling, design layout, and sizing.
- Once approved, files are queued for production and cannot be altered without creating a new order.
Known Canva Limitations
While Canva is a convenient tool, certain features do not translate reliably into production-ready files. Common issues include:
- Font substitution – custom or non-standard fonts may not export properly and can be replaced by defaults.
- Raster-only text/elements – Canva flattens some elements, which limits color edits and scaling without quality loss.
- Blend modes/effects – shadows, overlays, and transparency effects may appear different or disappear entirely when exported.
- Bleeds & margins – Canva’s default exports often lack proper bleed setup for full-bleed printing.
- Page/layer limits – large or multi-page projects may export with missing or corrupted layers.
Policy on Canva Files
- As of September 14, 2024, issues originating from Canva file limitations are not refundable.
- Customers are encouraged to provide native PSD, AI, PDF, or SVG files whenever possible.
- High-resolution PNGs with transparent backgrounds are acceptable for DTF gang sheets and UV DTF artwork.
Help & Resources
- Guidance on preparing print-ready files is available at our Help Center.
- If you are unsure about Canva file compatibility, please request a quick file check before ordering.
Turnaround & Cutoffs
Effective Date: September 1, 2025
Order Processing
- Orders are processed in the order they are received, once payment and artwork are confirmed.
- “Print-ready” means artwork meets our file requirements and does not require adjustments or rework.
Same-Day Eligibility
- Orders placed before 2:00 PM CST may qualify for same-day production when files are print-ready and materials are available.
- Same-day service is not guaranteed during peak production periods, holidays, or when artwork corrections are required.
- Orders placed after 2:00 PM CST are processed the next business day.
Standard Lead Times
- Most standard DTF, UV DTF, and Sublimation jobs are produced within 24–48 hours after approval of print-ready files.
- Larger gang sheets, bulk orders, or custom requests may extend turnaround times.
- Some services or promotions may have advertised lead times that differ from the standard — these will be communicated clearly on the product or checkout page.
Rush Services
- Rush production may be available on a case-by-case basis and may incur additional fees.
- Availability depends on job size, queue load, and staffing at the time of the request.
Exclusions & Delays
- Turnaround times exclude weekends, holidays, or shop closure dates (see our Help Center for current schedules).
- Epic Marks is not responsible for delays caused by:
Incorrect or incomplete files provided by the customer
Pending proof approvals
Payment delays or failed transactions
Carrier issues once a package has been handed off for shipping
Communication
- Customers will be notified by email when an order is complete and ready for pickup or has shipped with tracking details.
- If production delays occur beyond normal lead times, Epic Marks will notify customers as quickly as possible with updated timelines.
Color & Material Variance
Effective Date: September 1, 2025
Color Accuracy
- We strive for vibrant, high-quality color reproduction across all print methods.
- Exact color matching is not guaranteed due to differences in ink systems, substrates, and digital screen displays.
- Monitors, phones, and tablets display color differently; printed output may not match what you see on screen.
Pantone® & Brand Colors
- Pantone® and specific brand color requests can be referenced during setup but may not match exactly without custom color-matching services.
- Requests for Pantone® matching must be made prior to proofing; additional charges may apply.
Material Influence
- Variations in fabric blends, coatings, or substrates affect how colors appear once printed. For example:
Sublimation colors will appear lighter on blended fabrics compared to 100% polyester.
UV DTF may appear glossier or darker depending on the surface sheen.
DTF colors may shift slightly depending on garment fabric content and press settings.
Environmental Factors
- Heat press temperature, pressure, and dwell time can impact final appearance.
- Over-pressing may cause dulling, while under-pressing can result in incomplete adhesion or lighter colors.
Proofs & Samples
- Proofs are provided as digital representations and are not exact predictors of final print color.
- Physical samples can be requested for large-volume or color-critical jobs (fees may apply).
Disclaimers
- Epic Marks is not liable for minor shade differences, substrate-driven variations, or differences between digital proofs and final prints.
- Customers acknowledge that slight color variance is a normal and expected outcome of all printing processes.
- For mission-critical color applications, customers should order a test print before committing to a full run.
Help & Guidance
- For tips on setting up files to minimize color surprises, please see our Help Center.
